Free Meal Sign-Up Sheet Template for Meal Deliveries
Use a meal sign-up sheet when volunteers bring food on different dates to one household. Unlike a potluck, the goal is a manageable delivery schedule, not a buffet where everyone eats together. This free template helps a coordinator confirm portions, avoid duplicate delivery days and keep recipient preferences in one place.
Confirm the household’s wishes before recruiting volunteers
Ask the recipient whether meals would help, which days work and who should coordinate messages. Agree the number of adults and children being served, preferred delivery window and whether food should arrive ready to eat or ready for storage. Check what containers and appliances the household can use. Do not assume a large casserole is convenient when refrigerator space is limited.
Discuss dietary requirements privately and ask what information may be shared with volunteers. Use practical instructions such as a requested ingredient exclusion without publishing medical details. Give the recipient an easy way to pause deliveries or change the schedule through one coordinator. A helpful meal plan should reduce incoming messages, doorbell interruptions and decisions.
Copy this printable meal-delivery template
Copy the table below into Word, Google Docs, Excel or Google Sheets. Replace the bracketed fields, add one row for each agreed delivery and print in landscape orientation if you need more handwriting space. Keep a blank master for future use. This is a copyable template; it is not a separate delivery-calendar app or an automatically shared spreadsheet.
Above the table, write: Meal coordinator: [name]; private contact: [method]; portions per delivery: [count]; delivery window: [time]; container preference: [disposable or return arrangement]. Keep the recipient’s full address in a private message sent only to the volunteer whose delivery is confirmed.
| Delivery date | Volunteer | Meal / portions | Drop-off window | Confirmed |
|---|---|---|---|---|
| [Date 1] | [Name] | [Dish / servings] | [Time] | [Yes / pending] |
| [Date 2] | [Name] | [Dish / servings] | [Time] | [Yes / pending] |
| [Date 3] | [Name] | [Dish / servings] | [Time] | [Yes / pending] |
| [Date 4] | [Name] | [Dish / servings] | [Time] | [Yes / pending] |
Assign dates before choosing recipes
Start with the days the household requested, then ask volunteers to choose one date and describe the proposed meal. Include the main, accompanying items and actual portion yield. Review the schedule for repetition: three consecutive pasta deliveries may be less welcome than a varied list. Confirm the recipient’s preferences before asking someone to switch.
Leave a gap between deliveries when leftovers are expected. Ask the household whether a smaller portion or a meal that suits their own storage plan would help. Do not promise that every delivered meal can be frozen; that depends on the recipe, handling and the recipient’s equipment. A volunteer should confirm preparation and storage details directly with the coordinator.
Use one coordinator to confirm every delivery
For a small group, one person can collect replies and update the working table. Send each volunteer a short confirmation with the date, portions, agreed menu and drop-off window. Ask for a reply so an unanswered offer does not become an assumed commitment. A printed copy is useful for the coordinator, but it should not become a second independent schedule.
The potluck builder can coordinate contribution claims for a single gathering; it does not provide a dedicated multi-day delivery calendar. For this meal schedule, use the copyable table and manual confirmations. If you adapt an online contribution row to a dated meal, write the full date in its label and explain the arrangement clearly to your group.
Make drop-off and cancellation simple
Agree whether volunteers should knock, text or hand the meal to someone. Send an arrival message at the agreed time and wait for the household’s instructions; do not leave perishable food unattended without an agreed receiving plan. Label the container with the dish name, preparation date, ingredients and any recipe-specific reheating instructions the recipient needs.
If a volunteer cancels, tell the coordinator as soon as possible. Mark the date open before asking for a replacement, then confirm the new volunteer privately. If nobody can cover it, let the household know promptly. After the last delivery, thank volunteers and stop circulating the address or contact details. Keep only the blank template for the next occasion.
Meal schedule questions
Is a meal sign-up sheet the same as a potluck sheet?
A meal schedule coordinates deliveries on different dates to a household. A potluck sheet coordinates contributions to one shared gathering. Choose the format that matches the event.
Can I print this template for free?
Yes. Copy the table into a document or spreadsheet, replace the bracketed fields and print it. Use the potluck printable maker for a dish-based sheet for a single event.
Does this page send automatic reminders?
No. The coordinator sends confirmations and reminders manually through the group’s usual communication channel.
For one shared meal, use the online potluck sheet or printable potluck template. Use the invitation examples when inviting a group to a gathering.
